Hampton Roads Pride Needs YOU!
Keeping Pride alive in Hampton Roads requires the efforts of many people – for regular events throughout the year, and especially for our annual Out In The Park Event. Your participating in one of more of the committees listed below will help Hampton Roads Pride grow. Will you help?
Advertising
Determine advertising rates, Ensure rates are appropriate for the program & website, Set deadline for advertisements between 30-45 days before OITP, Ensure program is available for distribution 1-2 weeks before OITP, Coordinate with Sponsorship Committee for ads for all paid sponsors, Coordinate with Entertainment Committee to ensure Stage Schedule is in program, on website, on Facebook, and available to the community in a timely manner. Ensure ALL advertisers receive receipts for their advertisements. Contact the Advertising Committee
Boat Parade
Responsible for organizing the HR Pride Boat Parade; securing participants, etc. Contact the Boat Parade Committee
Entertainment
Coordinate to find sound engineer/equipment at reasonable rate for OITP, Coordinate and find talent to perform at OITP at reasonable rates, Create Stage Schedule for the day of OITP, Ensure Stage Schedule is available for distribution in a timely manner, Coordinate with sound engineer the day of OITP for the Stage Schedule, Ensure proper receipts are kept for all performers and sound engineers. Finance
Ensure that financial records are maintained and assists in preparing for audits. Contact the Finance Committee
Fundraising
Coordinate efforts to secure locations for non-Sponsorship Fundraising events throughout the year, Determine whether fundraiser is for the General fund or for a specific cause, Ensure enough time for proper posters and announcements to be made, Ensure proper receipts are kept of all income and expenditures. Contact the Fundraising Committee
Logistics
Work with local groups on involvement, Ensure vendor fees are nominal and reasonable in regards to our expenses, Work with the Sponsorship committee to ensure all sponsors have a space available, if necessary, Create a vendors agreement that follows all the guidelines provided by the City of Norfolk and FestEvents, Coordinate all equipment necessary for all vendors, Ensure all vendors follow City of Norfolk guidelines before approval. Marketing/IT
Responsible for ensuring continuity of all published communications and graphical representations. Maintaining the HR Pride Website Managing Pride-related Databases, Contact Marketing/IT Committee
Membership/Outreach
Work to increase the membership of Hampton Roads Pride (HRP), Work to increase the visibility of HRP by sending ambassadors to different organizations/groups in the Hampton Roads GLBT community, Work with the Volunteer Committee to ensure all events/fundraisers have adequate volunteer/member coverage. Contact Membership Committee
Out in the Park
Ensure all permits, schedules and details for OITP are completed by the deadlines set. Contact the Out In The Park Committee
Scholarship
Ensure scholarship packet is out in a timely manner, with a deadline with plenty of time to announce winners at OITP, Assist in fundraising efforts for the scholarship program, Determine the requirements for the winners, Assist in finding eligible and anonymous application reviewers.
Sponsorship
Manage and execute major fundraising events, Ensure sponsorship packet is out and available in a timely manner so as to garner the most attention from the local and national community, Work with local businesses to continue their sponsorship plans, Work with all potential sponsors to create a sponsorship package that best suits them and their needs, Ensure ALL sponsors receive receipts for their money, goods and/or services. Vendors

Volunteers
Work with Membership committee to ensure enough volunteers available for OITP, Ensure all other events throughout the year have volunteers to assist with details, Maintain a list of current and former volunteers and their various abilities, Ensure a volunteer orientation occurs before OITP, to go over legal regulations, scheduling, and final planning 2-3 weeks prior to the event.
